General Purpose/Summary Of Job

Vornado Realty Trust (NYSE: VNO) is an equity real estate investment trust (REIT) with over 30 million square feet of office and retail properties under management. The Executive Assistant is responsible for providing assistance to the Executive Vice President directly, and indirectly to her staff by lending general operational support to the group.

Primary Duties And Responsibilities

  • Must be willing to work in an office setting. This is not a remote position
  • Prepare correspondence via e-mail and mail on behalf of EVP
  • Answers incoming telephone calls, greets and escorts visitors and opens and distributes mail to staff members and prepares all outgoing mail for regular, certified, overnight or messenger delivery
  • Facilitates and tracks contracts as assigned
  • Maintain Marketing files on shared drive help prepare for meetings
  • Maintain calendars, schedule meeting requests, reserve conference rooms and coordinate catering
  • Coordinate Event invitations and RSVPs
  • Prepares and processes all payroll and employee-related forms for new and existing Vornado employees
  • Coordinates and schedules departmental meetings and appointments
  • Provides assistance and basic training in use of on-site office equipment
  • Manages expenses and expense reports
  • Provides marketing team with assistance as requested
  • Fulfill accounts payable functions as assigned
  • Ability to handle confidential information in a secure manner
  • Interacts professionally and effectively with mall tenants, corporate personnel, contractors and the general public
  • Coordinate travel arrangements
  • Maintains appropriate inventory of office supplies and coordinates maintenance schedules for office equipment
  • Process and track vendor invoices
  • Must possess positive interpersonal skills and be able to communicate well and in a positive manner to customers, employees, visitors and vendors at all times
  • Ability to multi-task while still exhibiting good judgment and poise in a fast-paced environment
  • Communicate professionally, articulately and effectively
  • Must be proficient in Microsoft Office Suite

Education/Experience

  • College degree preferred
  • Minimum five years in a similar role

The starting base salary for this New York position is expected to be between $100,000 to $120,000 annually. Actual salary will be determined based on skills, experience (to the extent relevant) and other job-related factors, consistent with applicable law.

Vornado Realty Trust is not offering relocation for this position located in our New York, NY office.
