Role Description This is a full-time, on-site Executive Assistant role based in Kochi, Kerala. The Executive Assistant will provide comprehensive administrative and executive support, including managing calendars, scheduling meetings, coordinating travel, and preparing expense reports for senior leadership. Responsibilities include drafting and reviewing correspondence, preparing presentations and reports, maintaining organized files and records, and ensuring timely follow-up on key tasks and deadlines. The role also involves coordinating internal and external meetings or events, handling confidential information with discretion, and serving as a communication liaison between executives, team members, and external partners. The ideal candidate will proactively anticipate executive needs, streamline workflows, and contribute to the smooth day-to-day operations of the leadership office.

Qualifications

  • Strong Executive Administrative Assistance and Executive Support skills to manage calendars, meetings, priorities, and confidential information.
  • Proficiency in Administrative Assistance and Expense Reports, including organizing documentation, tracking expenses, and preparing accurate reports.
  • Excellent Communication skills, both written and verbal, to interact effectively with executives, team members, and external stakeholders.
  • Proficiency with office productivity tools (e.g., MS Office or Google Workspace) and comfort with digital collaboration tools.
  • Proven experience as an Executive Assistant, Personal Assistant, or similar role supporting senior leadership.
  • Strong organizational skills, attention to detail, and ability to prioritize multiple tasks in a fast-paced environment.
  • High level of professionalism, integrity, and ability to handle sensitive information with discretion.
  • Bachelor’s degree in Business Administration, Management, or a related field is preferred; equivalent experience will be considered.
  • Experience in a multi-company, multi-sector, or international business environment is an advantage.
