Role Overview

Torque Entertainment is seeking a highly proactive, organized, and adaptable Executive Assistant to serve as the strategic right-hand partner to the Chief Executive Officer (CEO). In our fast-paced event experience ecosystem, this role goes far beyond traditional administrative support.

The ideal candidate will act as a force multiplier for the CEO, streamlining executive operations, managing complex scheduling across high-stakes event timelines, and serving as a seamless bridge between executive leadership, project teams, and external stakeholders. You will thrive in a high-energy environment where precision, discretion, and rapid problem-solving are paramount.

Key ResponsibilitiesExecutive Calendar & Time Management
  • Strategic Scheduling: Orchestrate the CEO’s complex, rapidly shifting calendar, ensuring time is fiercely protected and aligned with top business priorities, client meetings, and event milestones.
  • Meeting Preparation: Compile detailed briefing dockets, background research, agendas, and talking points prior to all internal leadership sessions, client pitches, and stakeholder alignments.
  • Action Item Tracking: Attend key executive meetings to capture critical decisions, assign deliverables, and drive follow-through across internal department heads and project leads.
Project & Event Coordination
  • Cross-Functional Liaison: Serve as a reliable operational bridge connecting the CEO’s office with Business Development, Creative, Operations, and Production teams during major brand activations, corporate summits, and protocol events.
  • Timeline Monitoring: Track high-level progress on critical projects and upcoming event deliverables, proactively alerting the CEO to potential bottlenecks or required interventions.
  • On-Site Executive Support: Provide real-time logistical and coordination support during major high-profile event executions, summits, or multi-city activations as required.
Communication & Stakeholder Management
  • Gatekeeping & Triage: Screen incoming communications, inquiries, and collaboration requests with high emotional intelligence, resolving routine matters independently and escalating priorities to the CEO.
  • Executive Correspondence: Draft, review, and refine professional correspondence, executive announcements, board presentations, and stakeholder communications on behalf of the CEO.
  • Relationship Maintenance: Foster professional, high-touch relationships with key external stakeholders, including corporate clients, government officials, artist managers, venue executives, and agency partners.
Operations & Travel Logistics
  • Itinerary Management: Coordinate comprehensive, seamless domestic and international travel arrangements, including flights, accommodations, ground transport, and dynamic event-day itineraries.
  • Expense & Administrative Control: Manage executive expense reporting, budget tracking for executive office activities, and confidential document archiving.
Required Qualifications & SkillsProfessional Experience
  • 3 to 5 years of demonstrated experience as an Executive Assistant, Corporate Assistant, or Chief of Staff supporting C-suite executives.
  • Prior background in events, entertainment, media, advertising, or fast-paced consulting environments is strongly preferred.
Technical & Core Competencies
  • Productivity Suite Mastery: Advanced proficiency in Google Workspace (Gmail, Calendar, Docs, Sheets, Slides) and Microsoft Office.
  • Project Management Tools: Familiarity with modern collaboration and tracking platforms (e.g., Slack) to monitor cross-departmental workflows.
  • Flawless Communication: Exceptional written and verbal communication skills, with the ability to adapt tone and formality across corporate, creative, and protocol environments.
