Position: Executive Assistant – Founder's Office (to the CEO)
About the Role
:We are looking for an Executive Assistant to join the Founder's Office and provide direct support to the CEO. This role involves close coordination with investors and board members, end-to-end travel and visa management, and a wide range of administrative and executive support responsibilities, requiring high professionalism, discretion, and organizational skill
.Key Responsibilities
- :Work closely with the CEO as part of the Founder's Office, providing direct executive support and ensuring seamless coordination across priorities
- .Act as a key point of contact for investors and board members, coordinating meetings, communications, and documentation on the CEO's behalf
- .Manage executive calendars, appointments, meetings, and daily schedules efficiently
- .Coordinate domestic and international travel arrangements, including flight bookings, hotel reservations, transportation, and travel itineraries
- .Handle visa applications and related travel documentation, including coordination with agencies/embassies as needed
- .Prepare meeting agendas, presentations, minutes of meetings (MoMs), and follow up on action items
- .Handle executive communications, including emails, phone calls, official correspondence, and stakeholder coordination
- .Organize employee engagement activities, corporate events, meetings, and internal initiatives
- .Maintain complete confidentiality while handling sensitive business, investor, and board-related information
- .Demonstrate a high level of professionalism while interacting with senior management, investors, board members, clients, vendors, and employees
- .Manage, organize, and maintain physical and digital documents for official purposes
- .Compile data and prepare reports, presentations, spreadsheets, letters, policies, and official documentation
- .Oversee day-to-day office administration and ensure smooth office operations
- .Act as a liaison between management, internal teams, vendors, clients, and external stakeholders
- .Perform ad hoc administrative and operational tasks as assigned by management to support executive operations
.Required Qualifications & Skills
- :Bachelor's degree in Business Administration, Human Resources, Management, or a related field
- .1–4 years of experience as an Executive Assistant, Office Administrator, or similar role
- .Experience in calendar management, travel coordination, visa/travel documentation, and executive support
- .Knowledge of Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and Google Workspace
- .Excellent verbal and written communication skills
- .Strong organizational, multitasking, and time management abilities
- .Ability to maintain confidentiality and handle sensitive information with discretion
- .Strong interpersonal and stakeholder management skills
- .Problem-solving mindset with attention to detail
- .Ability to work independently in a fast-paced environment
- .Comfort engaging with senior stakeholders, including investors and board members
- .Familiarity with visa and travel documentation processes
