Job Summary

The Executive Assistant for the Dietician provides high-level administrative support to ensure the smooth functioning of the dietician’s practice. This role involves managing schedules, coordinating client appointments, handlingcommunications, and assisting with various administrative tasks. The ExecutiveAssistant serves as a key liaison between the dietician, clients, andotherstakeholders, contributing to the overall efficiency and effectiveness of the practice.

Key Responsibilities

  • Administrative Support:

 Manage the dieticians’ calendar, scheduling appointments, consultations, and meetings.  Coordinate logistics for client appointments, including room preparation, equipment setup, and confirmation of appointments.

 Handle phone calls, emails, and other correspondence, ensuringtimelyresponses and proper prioritization.

 Prepare and organize documents, reports, presentations, and other materials as needed.

  • Client Management:

 Serve as the primary point of contact for clients, addressing inquiries, scheduling appointments, and managing client records.

 Maintain client databases, ensuring accuracy and confidentiality of information.

 Assist in the development and implementation of client intake processes, including gathering relevant information and completing necessary forms.

  • Communication and Coordination:

 Facilitate communication between the dietician and clients, colleagues, and external partners.

 Coordinate with other healthcare professionals, such as physicians, nurses, and therapists, as needed for collaborative care.

 Communicate appointment reminders, follow-up instructions, and other relevant information to clients.

  • Documentation and Recordkeeping:

 Maintain accurate and organized records of client assessments, dietary plans, progress notes, and other documentation.

 Ensure compliance with privacy regulations and ethical standards in handling sensitive client information.

 Assist in the preparation of reports, summaries, and documentation for internal review or external stakeholders.

  • Support for Special Projects:

 Assist the dietician in planning, organizing, and executing special projects, such as community outreach events, nutrition workshops, or research initiatives.

 Coordinate logistics, resources, and communications for project activities.

 Provide administrative support during project implementation, including tracking milestones, managing budgets, and documenting outcomes. Social Media Responsibilities  Instagram Management

 Plan and schedule Instagram posts, reels, stories, and campaigns

 Create engaging captions and coordinate creatives/designs

 Monitor engagement, comments, DMs, and audience interaction

 Maintain brand consistency across content

 Research trends, hashtags, and competitor activities. Track analytics and prepare monthly performance reports

 YouTube Management

 Coordinate video uploads, titles, thumbnails, descriptions, and tags

 Optimize videos using basic YouTube SEO practices

 Manage publishing schedules and content calendars

 Coordinate with editors/designers for video assets

 Monitor channel growth, watch time, and engagement metrics

 Assist in content ideation and audience growth strategies

Qualifications

 Bachelor's degree in Nutrition, Dietetics, Health Sciences, Business Administration, or related field preferred.

 Proven experience (2-3 years) in an administrative role, preferably in a healthcare or nutrition-related setting.

 Strong organizational skills with the ability to multitask and prioritize tasks effectively.

 Excellent communication skills, both verbal and written, with the ability to interact professionally with clients and colleagues.

 Proficiency in Microsoft Office suite (Word, Excel, PowerPoint, Outlook)and scheduling/calendar software.

 Knowledge of nutrition principles, dietary guidelines, and healthcare terminology is desirable.

 Discretion and confidentiality in handling sensitive information.
