Role Description This is a full-time, on-site Executive Assistant role based in Faridabad. The Executive Assistant will provide high-level administrative support to senior leadership, including managing calendars, scheduling meetings, coordinating travel, and preparing meeting agendas and documentation. The role involves handling correspondence, drafting and formatting letters, presentations, and reports, and maintaining organized digital and physical filing systems. The Executive Assistant will prepare and process expense reports, track reimbursements, and support basic budgeting or vendor coordination as needed. Day-to-day responsibilities also include coordinating internal and external meetings, liaising with stakeholders, managing confidential information with discretion, and supporting special projects or business initiatives to ensure smooth executive operations.
Qualifications
  • Strong Executive Administrative Assistance and Administrative Assistance skills, including calendar management, scheduling, documentation, and office coordination.
  • Proven Executive Support experience, with the ability to anticipate needs, prioritize tasks, and manage multiple deadlines for senior leaders.
  • Experience preparing and managing Expense Reports, tracking reimbursements, and ensuring accurate and timely submission of financial documentation.
  • Excellent Communication skills, both written and verbal, with the ability to interact professionally with internal teams, partners, and external stakeholders.
  • High level of integrity and discretion when handling confidential information and sensitive matters.
  • Strong organizational and time-management abilities, with attention to detail and follow-through.
  • Proficiency with office productivity tools (e.g., MS Office or Google Workspace) and comfort with basic digital filing and collaboration systems.
  • Prior experience as an Executive Assistant, Administrative Assistant, or similar role; experience in FMCG, cosmetics, or export-oriented businesses is an advantage.
  • Bachelor’s degree in Business Administration, Commerce, or a related field preferred, or equivalent relevant experience.
