Position: Full-Time

About the Role

Hyperstar Developers Private Limited is looking for a proactive, highly organized, and dependable Executive Assistant to work directly with the Founder & CEO. This is a high-responsibility role that requires someone who can efficiently manage executive priorities, coordinate day-to-day business operations, and provide administrative and operational support while accompanying the Founder for meetings, site visits, and business engagements whenever required.

Key Responsibilities
  • Manage the Founder & CEO's calendar, appointments, meetings, and travel arrangements.
  • Accompany the Founder to client meetings, site visits, business events, and official engagements.
  • Prepare meeting agendas, presentations, reports, minutes of meetings (MoMs), and follow-up action items.
  • Handle confidential business information with complete discretion.
  • Coordinate with internal departments, consultants, vendors, clients, and external stakeholders.
  • Draft professional emails, letters, presentations, and business documents.
  • Maintain records, files, contracts, and important documentation.
  • Assist in administrative functions including office coordination, vendor management, procurement, and facility-related tasks.
  • Track project timelines, pending tasks, and ensure timely follow-ups.
  • Coordinate travel, accommodation, reimbursements, and expense records.
  • Support the CEO in strategic initiatives and special projects as assigned.
  • Perform other executive and administrative responsibilities to ensure smooth day-to-day operations.
Required Qualifications
  • Bachelor's degree in Business Administration, Management, Commerce, or a related field.
  • Minimum 5 years of experience as an Executive Assistant, Executive Coordinator, or Administrative Executive.
  • Prior experience working in a reputed MNC is highly preferred.
  • Excellent communication skills in English and Hindi (written and verbal).
  • Strong proficiency in Microsoft Office (Excel, Word, PowerPoint, Outlook) and Google Workspace.
  • Exceptional organizational, multitasking, and time management abilities.
  • High level of professionalism, integrity, and confidentiality.
  • Strong problem-solving and decision-making skills.
  • Comfortable working in a fast-paced, dynamic environment.
  • Willingness to travel with the Founder whenever required.
Preferred Candidate Profile
  • Male candidate preferred due to the travel-intensive and on-field nature of the role.
  • Professional personality with excellent interpersonal skills.
  • Detail-oriented, proactive, and capable of working independently.
  • Flexible with working hours based on business requirements.
  • Experience in the real estate, infrastructure, construction, or corporate sector will be an added advantage.
