Reporting To: Executive Assistant (EA) to the CEO/Director


Job Summary

We are seeking a highly organized, proactive, and detail-oriented Administrative Assistant to provide administrative and coordination support to the Executive Assistant (EA) of the CEO/Director. The ideal candidate should possess excellent communication skills, strong follow-up abilities, and the capability to coordinate effectively with multiple departments while maintaining professionalism and confidentiality.

Key Responsibilities

1. Professional Email Communication

  • Draft, review, and send professional emails to internal teams and external stakeholders.
  • Handle official business correspondence on behalf of the EA and management.
  • Ensure timely, accurate, and professional communication while maintaining confidentiality.

2. Department Coordination & Follow-up

  • Coordinate and follow up with all departments regarding assigned tasks, deadlines, and action items.
  • Track pending work and provide timely status updates to the EA and management.
  • Ensure smooth communication and collaboration across departments.

3. Meeting Scheduling & Coordination

  • Schedule meetings, appointments, conferences, and business discussions for the CEO/Director and EA.
  • Prepare meeting agendas, calendar invites, and coordinate meeting logistics.
  • Record meeting minutes and follow up on action points to ensure timely completion.

4. Documentation & Record Management

  • Prepare, organize, maintain, and update company documents, reports, presentations, and official records.
  • Maintain both digital and physical filing systems.
  • Ensure documents are accurate, confidential, and easily accessible when required.

5. Administrative Support

  • Assist in preparing reports, presentations, letters, and business correspondence.
  • Handle incoming calls, visitors, courier management, and office communication professionally.
  • Provide day-to-day administrative support to the Executive Assistant and senior management.
  • Maintain confidentiality of executive information and company records.

6. Office Coordination

  • Coordinate with internal teams, vendors, and service providers whenever required.
  • Support the smooth functioning of office administration and daily operations.
  • Assist in organizing meetings, company events, training sessions, and other official activities.

7. Other Responsibilities

  • Maintain professional relationships with employees and external stakeholders.
  • Ensure timely completion of assigned administrative tasks.
  • Perform additional duties assigned by the Executive Assistant, CEO, or Director.
