About The Role

We are seeking a dedicated and compassionate Customer Service Representative (CSR) to join our Veterinary Specialty Hospital in North County, San Marcos, CA. This full-time position offers an opportunity to be a vital part of a fast-paced, empathetic team that supports pet families during urgent and emotional moments. As a CSR, you will serve as the first point of contact for clients, providing exceptional service and ensuring a seamless experience from check-in to check-out. Your role is essential in managing communication between clients, veterinary staff, and specialists, helping to facilitate smooth operations and contribute to the overall quality of care. This position is ideal for individuals with veterinary experience who are passionate about animal health and client service, seeking a rewarding career in a supportive environment.

Qualifications

To be successful in this role, candidates should possess a minimum of 2+ years of veterinary experience, preferably within general practice, emergency, or specialty settings. Strong communication skills are essential, as you will be interacting with clients during stressful situations and need to convey information compassionately and clearly. Organizational skills and the ability to multitask efficiently are also critical in managing high-volume calls, client updates, and administrative duties. Candidates should demonstrate a calm, professional demeanor, especially in fast-paced and emotionally charged environments. Prior experience with veterinary software, billing, and scheduling is preferred, along with a genuine passion for animal health and client care.

Responsibilities

  • Welcome clients and assist with patient check-in and check-out procedures, ensuring a positive first impression.
  • Manage high-volume phone calls, providing timely updates and addressing client inquiries with professionalism and empathy.
  • Support the preparation of estimates, processing payments, and handling financial transactions accurately.
  • Communicate compassionately and effectively during urgent and emotional situations, offering reassurance to pet owners.
  • Collaborate closely with veterinary technicians and doctors to maintain efficient workflow and ensure seamless patient care.
  • Assist with administrative tasks such as scheduling appointments, updating patient records, and managing client communications.
  • Contribute to a positive team environment by supporting colleagues and maintaining a professional attitude at all times.
