Location- Gurugram
Profile-Service Admin - Officer
Experience-3-5 years
Ctc range- upto 4.2 lpa
Working Days – 5 days (8:30 am-5:30 pm)
EDUCATION:
- 3-5 years of experience in customer service, sales ,quotation and pricing management.
- Good command in written and verbal communication skills in English
- Required Expertise in Outlook mail ,MS-Office and ERP systems
- Good public relations, negotiation and customer orientation skills
- Must be able to develop trust, respect, and confidence of customers, co-workers and managers.
- Ability to work in a fast-paced environment while setting priorities
- Ability to multi-task while maintaining attention to detail and deadlines
- Able to work under pressure and have sense of urgency
- Reporting Skills, Client Relationships and Documentation Skills are necessary
JOB FUNCTIONS:
- Interacting with customers, providing information in answer to inquiries about products, accounts, and services
- Handling schedule appointments based on customer product, time and labor requirements
- Organizing daily work schedule of service engineer member, revising quotation, rescheduling, mapping locations,
- Maintains , Updating and Revising historical customer database by entering data record each time contact is made with customer
- and close file when job is completed
- Handling and resolving customer complaints regarding product and services, or special orders via mail or phone.
- Monitors progress of job order throughout services, confers with establishment personnel, contracts services with the customer, and alters services schedule and job order to expedite timely processing of job in accordance with customer's requirements and company standards
- Taking service inquiry calls from customers or clients and dispatching the suitable customer service associate to address questions.
- Coordinating customers’ service requirements with other appropriate departments as necessary to ensure effective customer service.
- i.e , Do-internal co-ordination with HR & accounts department to resolve the issue.
- Contacting with sub contract and other suppliers for jobs and coordinating with safety dept for any safety issues.
- Prepares reports by collecting, analyzing, and summarizing information in daily ,weekly , monthly and annual report
- Arranging internal & External seminars and conduct promotional activities together with the service team.
- Tracking of all active job numbers to confirm with the engineers of project status and parts deliveries.
- Control of Spare Parts ( min required at Gurgaon office & inventory) .
- Filing of all service records for efficient tracing of past service histories when required.
- Follow up of service outstanding jobs / Quotation / PO follow up / Pending Payment follow up.
- Responsible for gate pass arrangements and other documentations requirements from customers for AB service team working .
- warranty Job closing status ( PO & Spare parts delivery from manufacturing ) follow up & maintain record.
- Maintain Service backend reports like
- Daily Call History Record
- Customer visit history record
- Customer training record sheet
- FOC SR / MOM / Inspection / SR / FA records maintain & update.
- External SV job records with SR
- Responsible in administrative duties and support service department
- Carry out any other duties which are appropriate to the post as may be reasonably requested by Superior
- Other duties as assigned
