Job Description -
We are seeking an accomplished Chief Administrative Officer (CAO) to lead and transform enterprise-wide administrative operations across multiple manufacturing facilities. This strategic leadership role is responsible for driving operational excellence, administrative governance, infrastructure management, and service delivery while enabling business growth across a large, multi-location organization.
The ideal candidate will possess extensive experience in leading large-scale administration functions within manufacturing, pharmaceutical, infrastructure, or industrial organizations, with a strong focus on operational efficiency, compliance, people leadership, and digital transformation.
Key Responsibilities
- Lead enterprise-wide administration across multiple business locations, ensuring efficient, scalable, and standardized operations.
- Develop and implement administrative strategies that support organizational growth, operational excellence, and business continuity.
- Oversee facility management, infrastructure, workplace services, and administrative support across corporate offices and manufacturing plants.
- Manage security operations, access control, emergency preparedness, surveillance systems, and safety compliance across all locations.
- Drive housekeeping, hygiene, and workplace standards aligned with regulatory and operational requirements.
- Lead transport and fleet operations, ensuring efficient employee transportation, logistics coordination, and vehicle management.
- Oversee travel management, including domestic and international travel, accommodation, visa coordination, and executive travel support.
- Manage hospitality services, guest facilities, corporate events, conference management, and employee amenities.
- Drive fixed asset management, inventory control, vendor management, procurement coordination, and administrative budgeting.
- Build strong relationships with government authorities and oversee statutory permissions, regulatory documentation, and administrative compliance.
- Lead digital transformation initiatives across administrative functions through automation, asset tracking, workflow digitization, and management dashboards.
- Establish SOPs, governance frameworks, service standards, and performance metrics to continuously improve administrative efficiency.
- Build and develop high-performing administration teams while fostering a culture of accountability, collaboration, and continuous improvement.
Desired Candidate Profile
- 20+ years of experience leading Administration, Facilities, Corporate Services, or General Administration functions within large organizations.
- Proven experience managing multi-location administrative operations supporting large employee populations.
- Strong expertise in facility management, security, transport, hospitality, travel management, and vendor governance.
- Experience driving administrative transformation, process standardization, automation, and operational excellence initiatives.
- Strong knowledge of statutory compliance, government liaison, regulatory documentation, and workplace governance.
- Demonstrated ability to manage large budgets, vendors, and cross-functional stakeholder relationships.
- Exceptional leadership, communication, decision-making, and people management skills.
- Bachelor's degree in Engineering, Business Administration, Management, or a related discipline. A postgraduate qualification is preferred.
Preferred Industry Background
Candidates from Pharmaceuticals, Manufacturing, Industrial, Infrastructure, Automotive, FMCG, Chemicals, Logistics, Engineering, or Large Corporate Organizations will be preferred. Experience managing administration across manufacturing plants or multi-site operations will be a significant advantage.
