Overview
The Admin Specialist supports the day-to-day office activities and helps keep things running smoothly. This role involves handling administrative tasks, coordinating with different teams, organizing documents, and providing support to management when needed. The Admin Specialist is a reliable point of contact who helps create an organized, efficient, and positive work environment.
Key Responsibilities
- Manage all licenses and permits, including: Construction Permits, Industrial Licenses, Environmental Permits, Operation Licenses and Civil Defense Approvals.
- Coordinate with government entities such as Modon, SEC, MIM, MISA and MOE to complete electricity connections, MV room approvals, and all operational infrastructure requirements.
- Handle regulatory documentation including CR updates, Qiwa, GOSI, Visas, ZATCA, and any compliance tasks affecting factory operations.
- Manage factory security services, including contracting the security company, handling renewals, processing monthly payments, and ensuring compliance with MODON security standards.
- Handle MODON rent fees for our factories, including payment processing, monitoring deadlines, updating lease data, and ensuring no penalties occur.
- Coordinate with suppliers, contractors, consultants, and authorities to solve operational issues and prevent delays in factory readiness or production.
- Provide regular updates to management on the progress of licenses, permits, rent payments, security contracts, and all government-related tasks.
Requirements
- Bachelorβs degree in Administration or related field.
- Minimum of 1-2 years of experience (Industrial experience is an advantage).
- Very good skills in Microsoft office, especially Excel.
- Proficiency in English, both spoken and written.
