Job Description
We are looking for a Personal & Administrative Executive who can handle both? studio operations ?and offer? personal support ?for the leadership team. This role would go beyond a standard administrative assistant, requiring strong organizational skills, discretion, and the ability to manage both business and personal logistics seamlessly. Studio & Office Operations: Oversee the?day-to-day administration?of the studio, ensuring smooth workflows. Source and coordinate with vendors?for equipment, services, office supplies, and software. Manage?procurement and logistics, including researching and purchasing necessary items. Handle?travel arrangements, including flight bookings, visas, accommodations, and transport. Manage?studio inventory, tracking and replenishing office and tech supplies. Assist with?basic IT support, troubleshooting common software/hardware issues. Maintain office facilities, ensuring workspaces are organized and fully functional. Liaise with external service providers (internet, utilities, maintenance, etc.). Act as a liaison between the external agencies and people; internal departments and team members for various tasks. Ensure accurate and timely entry of data into company systems. Assist the accounts team with?basic bookkeeping tasks, such as record-keeping, invoice processing, and expense tracking. Handle registrations, form-filling, and?compliance-related documentation. Personal Assistance for the Leadership Team: Manage personal calendars, appointments, and schedules. Oversee personal travel,?event invitations, and family logistics. Handle?personal purchases, bill payments, and household coordination. Discreetly manage confidential personal and professional matters. Skills & Qualifications: 3+ years of prior experience in?operations, administration, or executive assistance. Strong vendor management?experience. Excellent logistical coordination skills. Basic?IT proficiency, with the ability to troubleshoot minor tech issues. Highly organized, detail-oriented, and proactive in problem-solving. Strong communication skills (written & verbal). Ability to work independently and manage multiple priorities efficiently.
