The Need
For over 25 years, IJM has pioneered the work to protect vulnerable people from violence. 9 out of 9 times in the last decade, IJM’s Justice System Strengthening Projects have reduced slavery and violence between 50 and 85% for very large populations of people in poverty. As we grow to expand our impact to protect 500 million people from violence, we are seeking an Administrative Associate to provide high-quality executive and administrative support while strengthening coordination, communication, and operational effectiveness across the State Program.
The Administrative Associate will play a critical role in supporting the State Program Director by managing executive coordination, communications, scheduling, documentation, and stakeholder engagement. This role will work closely with internal teams and external stakeholders to ensure seamless operations, effective planning, and timely execution of key priorities.
The role is based in Vijayawada, Andhra Pradesh.
Responsibilities:
Executive & Administrative Support:
- Provide comprehensive administrative support to the State Program Director.
- Manage calendars, meetings, correspondence, and follow-up on key action items.
- Coordinate travel arrangements, event logistics, and executive schedules.
- Prepare reports, presentations, agendas, and official documentation.
Coordination & Stakeholder Management:
- Serve as the primary coordination point between the State Program Director and internal teams.
- Collaborate with regional, and global teams to ensure timely communication and execution.
- Build effective relationships with internal and external stakeholders.
- Support cross-functional coordination for organizational initiatives.
Planning & Operational Support:
- Maintain systems to track priorities, deadlines, and ongoing initiatives.
- Support implementation of program initiatives and operational priorities.
- Coordinate administrative documentation, expense reporting, and payment processes.
- Ensure compliance with organizational policies and procedures.
Documentation & Information Management:
- Organize confidential records, reports, and official documentation.
- Maintain accurate electronic and physical filing systems.
- Support preparation of meeting materials and maintain project documentation.
- Ensure timely access to information and records as required.
Qualifications
Education & Experience:
- Bachelor's degree in Business Administration or a related field.
- Minimum 3 years of experience providing executive or administrative support to senior leaders.
- Experience coordinating multiple projects in a fast-paced professional environment.
- Experience working with diverse internal and external stakeholders.
Technical Competencies:
- Proficiency in Microsoft Office applications including Word, Excel, PowerPoint, and Outlook.
- Strong organizational, planning, and time management skills.
- Excellent business writing and documentation skills.
- Ability to manage multiple priorities while meeting deadlines.
- Strong attention to detail and follow-through.
- Excellent coordination and communication skills.
