Job Summary

We are looking for a proactive and organized Administrative Assistant to manage day-to-day office administration and ensure smooth business operations. The ideal candidate should possess excellent organizational and communication skills, be proficient in handling administrative tasks, and be comfortable coordinating with internal teams, vendors, and clients.


Key Responsibilities

  • Manage office inventory, stationery, and pantry supplies.
  • Coordinate courier dispatches and incoming deliveries.
  • Liaise with vendors for office maintenance, procurement, and service requirements.
  • Handle daily administrative tasks to ensure efficient office operations.
  • Maintain petty cash records, process bills, and support expense tracking.
  • Manage official email communications and respond to administrative queries.
  • Book conference rooms and coordinate meetings, including arranging refreshments and meeting materials.
  • Schedule appointments and maintain calendars for management.
  • Coordinate domestic travel arrangements, including transportation and accommodation, when required.
  • Visit client locations or company offices for administrative coordination and support as needed.
  • Maintain office records, files, and documentation in an organized manner.
  • Assist with event coordination and other administrative projects.
  • Perform any additional administrative duties assigned by management.


Qualifications

  • Bachelor's degree in any discipline.
  • 3-6 years of experience in administration, office coordination, or a similar role


Required Skills

  • Proficiency in Microsoft Office (Word, Excel, Outlook, and PowerPoint).
  • Strong written and verbal communication skills.
  • Good email etiquette and professional communication.
  • Experience managing inventory, vendors, courier services, and petty cash.
  • Excellent organizational and multitasking abilities.
  • Attention to detail and problem-solving skills.
  • Ability to work independently and manage multiple priorities.
  • Willingness to travel locally to client sites or company offices whenever required.


Preferred Skills

  • Experience with office administration software or ERP systems.
  • Basic accounting knowledge for petty cash and bill management.
  • Strong coordination and interpersonal skills.
