We're expanding and seeking a dependable, organized Administrative Assistant who excels at supporting operations, managing schedules, and delivering a smooth and professional customer experience.
Role Overview
This position combines office administration, scheduling, customer service, and light sales support. You will be the first point of contact for many customers, helping keep internal systems organized and ensuring things run efficiently.
Key Responsibilities
- Manage daily office operations and administrative workflows
- Professionally handle inbound calls and emails
- Greet and assist visitors in the showroom
- Schedule appointments, consultations, and job site visits
- Track customer requests and ensure proper follow-up
- Coordinate crew and project manager schedules
- Maintain accurate customer records, contracts, and job files
- Assist with invoicing, billing, and basic bookkeeping tasks
- Support sales proposal follow-ups and documentation
- Organize and maintain digital files and internal systems
- 3+ years of office administration, operations, or customer service experience (construction or trades preferred)
- Strong organizational and communication skills
- Comfortable with email, spreadsheets, CRM systems, and basic accounting tools
- Detail-oriented with the ability to multitask
- Professional, reliable, and solution-focused
- Experience with QuickBooks is a strong plus
- Bilingual (English/Spanish) is preferred
- Hourly pay: $19 - $27 per hour (based on experience)
