Job Description

Effizient Immigration Inc. is an Immigration Consulting firm based in Kitchener, Canada. We are authorized by the Government of Canada and The College of Citizenship and Immigration Consultants to practice Canadian Immigration Law and help clients worldwide with their immigration needs, such as student visas, work permits, LMIA, PR applications, etc.
Freshers can apply for this position.

As an Executive Assistant, you will be helping us operate our immigration business (in Canada).

Key Duties and Responsibilities:

1) Schedule and coordinate meetings and consultations for RCICs, including managing calendars.

2) Prepare and organize retainer agreements and related administrative documents for clients.

3) Handle inbound and outbound calls for existing clients, respond to general inquiries, and route matters appropriately.

4) Maintain and update client information, tasks in the company CRM system on a regular basis.

5) Prepare and circulate the company’s weekly newsletters and internal communications as required.

6) Create and manage digital folders for new clients and ensure all documents are accurately uploaded, organized, and maintained in company's WorkDrive.

7) Assist team members and colleagues with day-to-day administrative and operational tasks to support smooth office functioning.

8) Ensure confidentiality and proper handling of client information in accordance with company policies and data protection standards.

9) Follow up with clients whose applications have been approved to request and manage Google reviews.


Requirements

  • Excellent communication skills in English. DO NOT APPLY IF YOU CANNOT SPEAK FLUENT ENGLISH
  • You must have at least a Bachelor's degree or equivalent - Preferred Marketing, Media, or Business.
  • Must have computer/Laptop and smartphone
  • CRM Experience preferred
